UW–Madison’s Fleet Services will increase vehicle rental rates by 15% beginning July 1, 2025. The increase affects the daily base rate and mileage rate for both motor pool (short-term) and long-term vehicle rentals.
The rate increase will ensure UW Fleet’s vehicle rental program balances its revenues and expenditures in light of increasing costs for parts, repairs, and maintenance.
Collision damage coverage fee also included in motor pool rentals
Motor pool rentals will also include a daily $0.75 collision damage coverage fee beginning July 1, 2025.
The collision damage coverage fee is being implemented following the Universities of Wisconsin’s discontinuation of its auto collision chargeback program, which eliminated the central system for covering or redistributing vehicle collision expenses. As a result, UW-Madison must now manage these costs independently. To ensure an equitable approach, university leadership determined that a new daily fee, along with requiring schools, colleges, and divisions to cover collision repairs for their long-term lease and department-owned vehicles, is the fairest way to manage these expenses.
The collision damage coverage fees UW-Madison collects are held in a reserve account that is used to help pay for collision-related damage for motor pool vehicles.
Rates for fiscal year 2026 compared to last year’s rates can be found in the charts on this page. Please also refer to the downloadable FY26 Fleet rate sheet (PDF) for daily base and mileage rates. Please note that 8- and 14-passenger vans are no longer available in the motor pool.
